January 2005 PTO mtg action items
For the first time ever we had a meeting where the majority of library volunteers and the librarian could work out problems together in the same room and in front of the catalog. Exciting times! Ms Gros listed a number of issues that are arising due to lack of a policy dealing with overdues plus issues related to multiple copies of titles that are not marked as multiples in the catalog. My action item was to set up an tentative Overdue Policy asap.
The fix to the multiples problem requires that we go back into the catalog and redo the records for the multiples such that the copy# will show up on the spine - as well as in the catalog record. I began marking the multiples on a type of shelf listing and putting these multiples in a document called ?Duplicate or multiple on the Library computer. I need to finish that document. And the fixes can take place as a high priority background task. We have many multiples...we shouldn't checkout copies of any title that has multiples until all of that title is labeled correctly. We need to put a flag of some sort in a book's record if is a multiple so we not to check it out until fixed...perhaps the word "multiple" in front of the Titles in the Title box? You could go through the list of multiples in the document I created on the computer to quickly find these.
Going through the "problem box" reminded us that a policy needs to be crafted that will handle challenged books. In the Fall, Pastor asked us to make one that would cover curriculum as well. Mrs. Mac and Mrs. Green have taken that job. Mrs. G will go through the Urban Christian School Library Website to cull all the info on Selection policies. And Mrs Mac is lining up members for the Selection/Challenged book policy committee.
Some of our book mishandling can be attributed to the fact that our book processing area is too open to the public...little hands don't always know what's off limits by reading labels...The PTO decided that covering a couple of the bookshelves that hold our donations not yet in the catalog with curtain type fabric would be helpful.
In this vein, making a slot in the library door for book returns when the library is closed would also help keep track of returns. The hole has to be larger than our largest book and low enough on the door to feed into a padded box placed on the floor. The PTO was going to talk to the school adminstrator - Mrs. D - about getting this done.
The backlog of donations -500+ - is weighing heavily on me. I realize we can't rely just on me to all the cataloguing, there just isn't enough of me to go around. So I am looking into ways to delegate the more obvious pieces of cataloguing; putting toghether a mini-course on cataloguing; and lastly simplifying some of the caaloguing rules for our very small library...
Lastly, I was assigned to find RIF catalogs that sell non-fiction...so will do.
